Renewal of registration
General information:
Deadlines:
- First year registration: from 11/07/24 to 24/05/2025 (except during the closure period, usually from mid-December to mid-January) on ADUM. After validation by the doctoral school management on ADUM, the student can register on APOGEE via this link from 7:00 the next morning.
- Second year registration: from 11/07/2024 to 15/10/2024 at the latest on ADUM, in order to be able to register administratively for 02/11/2024 (absolute deadline).
- Third year registration: from 11/07/2024 to 15/10/2024 at the latest on ADUM, in order to be able to re-register administratively for 02/11/2024 (absolute deadline).
- Registration with derogation for duration: Documents to be submitted on ADUM, no later than 15/10/2024 - see "4th year derogatory registration process" below.
Three pieces of information are needed: the activity report, recommandation of your supervisor and that of the PhD Personal Monitoring Committee or CSI (set up during the 1st year of the thesis). The ED STIC council, on the basis of these three pieces of information, decides whether or not to authorize re-registration.
Then, as with your first registration, you must obtain a certificate of payment of the student and campus life contribution (CVEC) from the CROUS and complete your administrative enrollment via this link. You are not considered to be enrolled at the University until your administrative enrolment has been validated by the issue of a University Student Card.
2nd year registration:
For UniCA, please use your ADUM account, if needed, see USER GUIDE.
For PSL, use your ADUM account.
- When re-registering for the second year, in addition to the fields to be filled in on ADUM, you will need to fill in and upload a "first-year activity report". You have to fill in this form and send it to ADUM under the tab "Déroulement Doctorat" and the heading "Industrial Collaboration". You'll find an insert entitled "Déposez votre rapport d'activité / d'avancement". This is where you send the completed form.
- It is also necessary to upload the report of your Personal Monitoring Committee (PMC) to ADUM. Of course, this requires you to have organised the meeting with your PMC well in advance.
- In addition, you will need to complete the « convention de formation individuelle» (in French). Here is what you can fill in under three of the headings.
- Under the heading: « Conditions matérielles de la réalisation du projet de recherche, le cas échéant, les conditions de sécurité spécifiques », at a minimum, you will indicate the following sentence that allows for the coverage of the indicated subheadings:
« Par défaut, les conditions matérielles de réalisation du projet de recherche sont déterminées par le règlement intérieur de l'unité de recherche d'accueil. »
Then you will add what you consider useful.
- Under the heading: « Modalités d'encadrement, de suivi de la formation et d'avancement des recherches de la thèse », You will indicate at least the following sentence that will cover the indicated sub-headings:
« La soutenance est conditionnée à la validation de 90h de formation doctorales réparties comme suit:
- 30h de formations scientifiquse
- 30h de formations professionnalisantes
- 30h au choix. »
- Under the heading: « Objectifs de valorisation des travaux de recherche du doctorant », You will indicate at least the following sentence:
« Le candidat devra valoriser son travail par des publications dans des revues, conférences, séminaires ou journées thématiques du domaine de ... » (to be completed with your supervisor)
Then you will add what you consider useful.
- When you have completed everything, a tab will ask you to submit your « convention de formation individuelle (CIF)» to your supervisor for his opinion (see attached screenshot). He/She will receive an email asking him/her to do it, but do not hesitate to remind him/her if you see that it is not done.
The application can only be finalized after completing all of these actions. Once completed, the Doctoral School will validate the application, and the PhD supervisor can then sign the "convention individuelle de formation" electronically.
Your application for re-registration on ADUM must be completed by 15 July so that it can be considered by the ED STIC Commission. Only applications for re-registration on ADUM will be considered.
Once the ED STIC has made its decision, you will receive an automatic "Doctorate..." email informing you of the decision and (hopefully) authorising you to re-register.
3rd year registration
- For UniCA registration, please use your ADUM account, see USER GUIDE.
For registration in the third year, in addition to the fields to be filled in on ADUM, you must attach an activity report and the CSI/PMC repport. See page Personal Monitoring Comittee (PMC).
- For PSL, use your ADUM account.
The forms must be completed by July 15, so that the STIC board can review your application.
Once the ED STIC has made its decision, you will receive an email informing you of the decision and (hopefully) authorising you to re-register.
Registration in the 4th year of a doctoral program is derogatory.
A normal Ph.D. duration is 3 years (page only in French). In exceptional cases, an extension may be granted by the Head of the Establishment on the recommendation of the Director of the Doctoral School and the opinion of the supervisor of the thesis, and at the reasoned request of the candidate. A fourth year of enrollment therefore concerns a priori only doctoral students who arrived late in their first enrollment. Arrangements are also acceptable for those engaged in regular professional activity, students with an elective mandate at the university councils, or a few other particular cases. Also, women who had a child during the period are entitled to a derogation for one year.
For UniCA registrations:
- For a fourth year re-registration, in addition to the fields to be filled in on ADUM, you will upload your activity report under the heading "déroulement doctorat": Attach a pdf file with an explanation of the work accomplished, what remains to be done and the reasons for the request for an additional year, as well as the provisional plan for the PhD manuscript, and the manuscript as it stands if you have begun writing it. Submit the report as a single pdf.
- You'll need to organize a meeting with your PMC, similar to those held in your first and second years. In all cases, your PMC local member will submit the minutes of the 4th year PMC. Beforehand, you will have filled in the part of this report that concerns you.
- Also submit any supporting documents (employer's certificate, medical certificate, etc.).
Your application to re-register on Adum must be completed by July 15 to be processed.
The decision will be made by the ED STIC in collaboration with your Personal Monitoring Committee. If necessary, a mediation will be set up.
